Our client is a well-established and growing organisation based in Luxembourg City, operating in an international and dynamic environment. As part of its continued development, a new key management position is being created to strengthen the coordination and future development of its administrative and corporate support functions. We are looking for a: Head of Administration & Corporate Services (m/f) – DE/FR/EN Permanent contract – Full-time – Luxembourg City Your mission As Head of Administration & Corporate Services, you will oversee and coordinate the organisation's key corporate support functions, including Administration, Human Resources, Finance and IT. Working closely with the respective department managers and senior management, you will ensure effective collaboration across these functions and contribute to the continuous development of the organisation. This position offers a long-term development path towards the role of Chief Administrative Officer (CAO). As you progressively take on broader responsibilities, you will further strengthen your role as a strategic partner to senior management and play an increasingly important part in shaping the organisation's future. Your responsibilities Leadership & coordination: you oversee the Administration, HR, Finance and IT functions, support their managers and foster effective collaboration and alignment across departments. Organisational development & change: you review existing structures and processes, identify opportunities for improvement and support their pragmatic and sustainable implementation, while building trust and bringing people along throughout the change process. Finance: you progressively take responsibility for the Finance function and ensure effective budgeting, reporting, internal control, risk management and compliance processes. IT & digitalisation: you oversee the organisation's IT strategy and support the performance, security and continuous development of its information systems and digitalisation initiatives. HR & administration: you ensure consistency across HR and administrative policies and practices and contribute to talent development, succession planning and a collaborative working environment. Strategic partnership: you work closely with senior management, act as a trusted sparring partner and contribute to the organisation's strategic objectives and long-term development. Your profile Proven management experience in a senior or comparable leadership role, with responsibility for teams, departments or complex organisational matters. Professional experience across several corporate support functions such as Administration, Finance, Human Resources and/or IT is a strong advantage. Very good command of German, French and English, both written and spoken. Knowledge of Luxembourgish is considered an advantage. Experience in organisational development, process improvement or change management. Strong leadership skills combined with a pragmatic and hands-on mindset and the ability to remain operational when required. Excellent interpersonal and communication skills, with a high degree of diplomacy and the ability to build trust across different teams and hierarchical levels. Ability to drive change while listening, adapting your approach and taking existing structures and stakeholders into account.
