Sales Assistant - Luxembourg

Location: Wiltz, Luxembourg The first month will take place in Hoboken, Belgium, as part of the onboarding and training period. Contract Type: Permanent contract Role Overview The Sales Assistant provides essential administrative and operational support to the Regional Sales Manager and the sales team. This role acts as a key link between customers, prospects, sales managers, plants, and internal departments. The objective is to ensure smooth daily sales operations, accurate data management, efficient customer follow-up, and strong support to the commercial team. This is not only an administrative position. It is a sales support and coordination role requiring organization, attention to detail, customer focus, and the ability to manage several priorities in a fast-paced environment. Key Responsibilities Customer Interaction Act as a first point of contact for customers and prospects by phone and email. Address basic customer inquiries and redirect more complex requests to the appropriate sales manager. Follow up with prospects coming from the company website or other sources. Support smaller customers on a daily basis. Provide back-up support for customers, especially during holiday periods. Maintain a professional and service-oriented relationship with customers and internal stakeholders. CRM and Data Management Create new customers and prospects in Salesforce. Create, update, and follow up customer and prospect contact details in Salesforce. Register customer and prospect appointments in Salesforce for the Regional Sales Manager and / or Area Sales Managers. Register visit reports in Salesforce for ATC. Input budget figures in Salesforce. Support the sales team with Salesforce extractions, data updates, and reporting. Liaise with IT when needed to generate Salesforce views or improve data visibility. Provide sales and budget figures on request, including customer, product, and key account data. Prepare monthly reports for the Regional Sales Manager and / or Area Sales Managers. Ensure CRM data accuracy and consistency. Sales Support and Documentation Assist in product research and preparation of sales documentation. Create and update sales presentations. Prepare regular sales performance reports. Support the sales team with budget creation and data input. Prepare, attend, and follow up on commercial meetings, including business reviews and internal team meetings. Send reminders to the Regional Sales Manager and / or Area Sales Managers regarding deadlines. Support actions related to key accounts. Support customer tenders. Support contract preparation and signature processes. Prepare price quotations equal to or above €50,000 and follow up with the Regional Sales Manager and / or Area Sales Managers. Adapt price lists for selected customers. Support pricing and margin files. Operational Coordination Maintain daily contact with the Regional Sales Manager. Maintain weekly contact with Area Sales Managers. Liaise with plants and other internal departments to collect and share relevant information. Organize the sending of samples to prospects and customers, directly or through Salesforce. Organize customer visits to United Caps plants. Occasionally attend customer meetings. Provide customers and prospects with documents from other departments, such as quality documents, drawings, or technical information. Follow up on payment reminders with customers when requested by the plants. Prepare Credit Safe reports when required. Administrative Support Organize internal and external meetings, including lunches, dinners, hotels, and logistics. Exceptionally book flights and hotels. Provide occasional support to other departments when required, including: budget figures for Germany; creation of prospects in Salesforce for other departments. Required Skills and Qualifications Communication Excellent verbal and written communication skills. Ability to communicate professionally with customers, prospects, sales managers, plants, and internal departments. Positive, can-do attitude. Comfortable working both independently and as part of a team. Organization Strong ability to multitask and prioritize. Comfortable working in a fast-paced environment. Reliable follow-up and strong attention to detail. Ability to manage deadlines and reminders effectively. Technical Skills Strong command of Microsoft Office 365. Advanced working knowledge of Excel and PowerPoint. Familiarity with CRM tools, ideally Salesforce. Ability to manage data, reports, dashboards, and customer records accurately. Customer Service Helpful, proactive, and solution-oriented mindset. Strong sense of customer satisfaction. Ability to support customers and sales managers with professionalism and efficiency. Profile Sought The ideal candidate is structured, reliable, service-oriented, and comfortable working in a commercial environment. They should be able to manage administrative and operational sales tasks with precision, while also communicating effectively with multiple stakeholders. They must enjoy supporting sales teams, keeping data clean and accurate, following up on deadlines, and ensuring that daily business processes run smoothly. A successful candidate will combine: sales administration skills; CRM and reporting discipline; customer service mindset; strong organization; commercial awareness; attention to detail; ability to coordinate with different departments; proactive and positive attitude. Languages Professional English required. French is strongly preferred. Additional languages are an asset, especially in an international sales environment.
