Assistant Security Clearance Officer

As an Assistant Security Clearance Officer, you support the administrative follow-up of security clearances, security opinions and sensitive files within Equans. You work every day with internal departments, security officers and competent public authorities while building expertise in a specialised and regulated environment.

• manage and follow up individual security clearances administratively
• collect, check and complete the documents and data required for applications and administrative procedures
• prepare, submit and follow up security clearance applications through Habil , the NVO digital platform
• request and follow up security opinions through the AFCN digital platform
• follow up the payable fees and their administrative processing
• maintain a structured and up-to-date overview of all ongoing files, stages and statuses
• inform the employees concerned and internal contacts in a timely manner about the progress and outcome of their files
• follow up new hires, departures, job changes and other changes that may affect security clearances or access rights
• manage, archive and protect documents and information in line with the applicable security regulations
• answer questions from security officers and colleagues and support them in providing the required information correctly and on time
• support the daily operations and administrative follow-up of the Clearance team
• contribute to the standardisation, improvement and digitalisation of administrative processes related to security clearances and security opinions
• train new Security Officer employees
• organise and follow up interviews with the Evaluation Office of the Security Clearance Service of the General Intelligence and Security Service (ADIV)
• prepare justification letters for subcontractors
• take on additional administrative and organisational tasks according to the needs of the team

• higher secondary education diploma or an equivalent level through experience
• willingness to undergo the required security screening and obtain and maintain the required security clearance throughout employment. This role requires access to Habil , which contains sensitive and classified information, and therefore requires a valid individual security clearance
• experience in a similar administrative role is an advantage
• experience in security, compliance, HR, administration or a regulated environment is an asset
• experience handling confidential or sensitive files is an advantage
• very good knowledge of MS Office, particularly Excel, Word and Outlook
• comfortable working with digital administrative systems
• knowledge of Habil and SAP is an advantage
• willingness to further develop your knowledge within the security domain
• accurate, structured and organised way of working
• strong administrative skills and an interest in files, procedures and follow-up systems
• respect for deadlines and attention to detail
• ability to manage several files simultaneously
• ability to work independently and collaborate effectively within a team
• clear and professional communication skills
• discreet handling of sensitive and classified information
• strong sense of responsibility and adherence to applicable procedures
• positive and service-oriented attitude
• very good knowledge of Dutch and French, both spoken and written; a good knowledge of English is an advantage
