Accounting Secretary (m/f)

Job description Reporting to the Deputy Director for Finance and Administration, the Secretary will be responsible for the following tasks: 

• Providing administrative, legal, and accounting support in relation to public procurement procedures;
• Preparing (market analysis, organisation of meetings, needs assessment, drafting tender specifications, publication, contract award, etc.) and managing (responding to questions, analysing tenders, conducting negotiations, etc.) all assigned public procurement procedures;
• Managing the legal aspects of ongoing contracts, including delays, non-performance, amendments, and other contractual matters;
• Registering contracts in SAP;
• Carrying out various accounting tasks and providing general support to the accounting function (data entry, verification, follow-up, management of supplier and client accounts);
• Performing any other administrative or accounting duties assigned by the Deputy Director for Finance and Administration or the Director in order to ensure the continuity of services.
• Able to work in a flexible manner and may be requested to temporarily fulfil other duties as directed by the School Management.

Profile At least an upper secondary school diploma supplemented by a qualification/training in secretarial studies, accounting or business administration, or a Bachelor's degree in one of these fields;
Previous experience in public procurement is considered an asset;
Excellent command of French and the ability to work independently in English; knowledge of another European language will be considered an advantage;
Excellent command of IT tools (Microsoft 365); knowledge of SAP is an asset;
Excellent communication skills;

Excellent organisational and time management skills, with flexibility and the ability to meet deadlines;

Contract: We offer a permanent part-time contract (18 hours 45 minutes per week), in accordance with Belgian legislation and the Statute for the Administrative and Ancillary Staff (AAS) of the European Schools (available at:

Remuneration : Minimum gross monthly salary of 2.445,69 € based on a position corresponding to 18,75 hours per week. The exact grade and step will be determined according to the number of years of relevant experience and at the discretion of the school management.
