We are looking for a highly organized and customer-focused skilled Order Management & Business Support Specialist to join a dynamic and collaborative team. In this role, you will act as a key link between Sales, Finance, Operations, and other business functions, ensuring the seamless processing and fulfilment of customer orders from start to finish.You will play an essential role in delivering an exceptional customer experience by managing the order lifecycle, maintaining data accuracy, resolving issues proactively, and supporting business operations through insightful reporting. In addition, you will have the opportunity to coach and support junior team members, contributing to a culture of continuous improvement and operational excellence.Order Management & Administration
- Review, validate, and process customer orders in accordance with internal policies, contractual agreements, and operational guidelines.
- Ensure that customer orders are accurate, complete, and correctly entered into business systems.
- Monitor the progress of orders throughout the fulfilment lifecycle and provide timely updates to relevant stakeholders.
- Coordinate with internal teams to resolve order-related issues, discrepancies, or delays.
- Maintain accurate customer and order records, ensuring data integrity across systems.
- Perform quality assurance checks to minimize errors and ensure high service standards.
- Serve as a trusted point of contact for internal and external stakeholders regarding order status, fulfilment timelines, and inquiries.
- Build strong working relationships across Sales, Finance, Operations, and Customer Success teams.
- Proactively identify and resolve concerns to ensure a positive customer experience.
- Communicate effectively with stakeholders, ensuring transparency and timely issue resolution.
- Support invoice generation and billing processes where required.
- Verify pricing structures, discounts, billing information, and contractual terms to ensure accuracy.
- Partner with Finance and commercial teams to address billing discrepancies promptly.
- Ensure compliance with contractual agreements and pricing arrangements.
- Prepare and distribute regular order status updates, booking reports, and operational insights.
- Track and report order-related issues, identifying trends and recommending improvements.
- Support management with ad hoc reporting, analysis, and process improvement initiatives.
- Contribute to the optimization of order management processes and service delivery standards.
- Coach and mentor less experienced team members.
- Share best practices and support knowledge transfer within the team.
- Act as a role model by promoting quality, compliance, and customer-centric ways of working.
We are looking for an Order Management & Business Support Specialist :

- High school diploma or equivalent professional experience.
- Strong level of French and English or Dutch and English.
- Proven experience in order management, order fulfilment, customer operations, business support, or a related field.
- Experience managing end-to-end order processing in a complex business environment.
